[00:53] AJ Singh: Very good. Look, I think there's a lot to cover off. So I would like to get started on time, and thank you firstly for everyone who's already joined. Thank you for making the time on this webinar for the new ezyCollect.

[01:40] AJ Singh: Just to kick it off, we really have a packed agenda today, and this is really to introduce you — our customers, our prospects, all of you — to the new ezyCollect. It's our vision for order-to-cash intelligence, and it's something that's been ten years in the making, I would say. We've heard your feedback and we've incorporated a lot of it into this product, and we're really excited to show you what this looks like. It's, I think, the start of the journey — take two.
[02:15] AJ Singh: On that, we have two of our OGs who've been with ezyCollect for like ten years — your co-hosts, my co-hosts. For those of you who don't know me, I'm AJ. I'm the CEO and co-founder of the business. And we have Jane and Ricardo who have also been here for ten years. I'll hand over to you, Jane, to maybe do a quick intro for yourself.

[02:45] Jane Tria: Thanks AJ. Hello everyone. It's great to have you all here. I can see some familiar names there, so really good to have you here. We are so excited for this webinar, because really what we're about to show is all about you — what you've told us and what you've shared with us. Just want to say thanks for being on the journey with us over the last ten-plus years, and thank you again for spending the next hour with us today. Hopefully after the end of this webinar, you can take away some really great ideas and get as excited as we are. Ricardo.
[03:25] Ricardo Hori: Hey everyone. This is Ricardo. I've been at ezyCollect for ten-plus years. This is one of our largest releases. The team has been working really hard on this for six months, so we're quite excited to finally show this to everyone. Hope you have a good time. Today there are things that we've done and incorporated here that I remember from eight years ago that you might have requested. So some of them took a little bit to get done, but they're here now and there will be much more to come.
Vision & the Three Pillars
[04:10] AJ Singh: Good. Look, just to get into it — we'll spend five minutes talking you through the overall vision for the product: where we are today, what we have ready to deliver to you after this call, and what's coming. So that's what I'll spend maybe five to ten minutes on. Then we'll get into a platform overview where Jane, Ricardo and myself will take you through some of the screens. We can't do justice to the product in a one-hour webinar, so if there's anything that you want to see afterwards — deep dive — get in touch with us and we'll take you through it. But we'll try and squeeze in as much as we can in the fifty-five minutes that we have left.
[05:00] AJ Singh: Really, if I can just start by saying, for those of you who don't know, our mission at ezyCollect is zero days late. That's been the mission for the last ten-plus years. What that really means is everything we do is driven to help you and your teams get paid faster. It's, as we say — Jane, Ricardo — get paid faster with less effort, and make your team more efficient. Unlock the superpowers for your team so they can focus on what they love to do. That mission drives everything we do. Forget about AI, forget about everything else — we want to practically deliver that mission to you, right? And we want to do it in the best possible way so that you can enjoy getting paid on time and enjoy running your business.
[06:00] AJ Singh: What we understand as well in running a business: it's about getting the sale, that's most important. It's getting the customer to buy from you again. So having that relationship at the centre and not damaging your relationships as you get paid on time and you chase customers and you collect — that's the balance we've always struck really well at ezyCollect. It's what we call human-centred collections, and that's also at the centre of everything we do in this platform. AI can take over things but we're very mindful that collections is a human-centred activity as well. It's people, process and automation.
[06:50] AJ Singh: This first pillar, as you can see, we have three pillars here. The first pillar is the ezyCollect that you all know and love that helps you actually get paid faster, that we know is delivering results every day. We've listened to you, as Ricardo and Jane said, over the last ten years, and some features have taken longer than we would have liked, but we've rebuilt a lot of our core functionality with the flexibility and the modularity that you want. We've relooked at workflows. We said, how do we give you better segmentation, better control of your customer groups all within the same platform? We've looked at task management. We've said, okay, you need more control of how you orchestrate your business tasks. And Ricardo and his team have looked at the user experience and the user interface and said, how do we make that even better? What you'll see here in the first pillar is — at its core, it's still doing similar functionality, but it's giving you the tools to do it better, faster, more effectively, and really enjoy the experience.
[08:00] AJ Singh: On top of that, pillar two — which is the intelligence layer, or the order-to-cash intelligence layer — I'm very excited about. This is the new shiny stuff on top of the core platform that we've rebuilt, that takes the first pillar and gives you those superpowers to help you get paid even faster. Because that's the mission at the end of the day, right? Intelligence or AI doesn't matter unless it actually helps you get paid faster.
[08:35] AJ Singh: This intelligence layer — it's based on something real. It's based on Sidetrade, our parent company; on Sidetrade's data lake. What's a data lake? A data lake is built on real transaction data of how businesses are paying other businesses. Our data lake is based on nine trillion dollars' worth of B2B transaction data. So how is business A paying business B? When are they paying? How late are they being paid? What method are they using to pay? That data lake powers our order-to-cash intelligence. It's the world's largest data set of how businesses are actually paying other businesses.
[09:25] AJ Singh: If you can imagine, we have this private data set that we are using to power our AI, right? And it unlocks three modules that you can see on your screen here. One is business intelligence. This is what Ricardo and Jane will show you. It unlocks for you benchmarks. How are you getting paid against your peers? You can spot — maybe if I can be a bit better than my peers, I can pull in cash faster. That'll result in this much faster collection, this much more cash flow. You can see payment trends across your sector. It's a real unlock — that extra edge, so when you're on the phone, you can push a little bit harder because you know that they're paying other people faster than they're paying you.
[10:20] AJ Singh: Then, built on top of business intelligence is what we call augmented collections. That's taking it to the next level. It's to say, you know what, I want you, ezyCollect, to chase a segment of my customers based on what you recommend as the next best action based on the data intelligence that we have in our data lake. That's powered by Aimie. Aimie is a little character you see behind Jane, Ricardo and myself — the little redhead person. It is our persona of our AI agent experience.
[11:00] AJ Singh: From there, the third pillar is our road map. Okay, what's coming? So, pillar one, pillar two is here in this quarter. You will have pillar one, pillar two. Some of it's already delivered right now. Pillar three is coming in the coming quarters. That's really our agentic AI road map that includes some really interesting functionality that Ricardo will actually demonstrate to you today. That again is using AI, but ultimately is only as good if it helps you get paid faster, right?
[11:45] AJ Singh: So, Jane, did you want to maybe start with an overview of pillar one, which is the new platform, and then we'll go to pillar two and pillar three? Over to you, Jane.
Pillar 1 — The New Platform
[12:00] Jane Tria: Yeah, thanks AJ. Absolutely. I'm really excited about this new platform. Can't contain my excitement for the last few weeks. I'm just going to echo what AJ said previously — this new platform is really about you, our clients. All the feedback and suggestions and the conversations we've been having over the last few years has really brought us to this new one. All the pain points that you've mentioned to us, and also all the wins that we were able to help and solve for you. It's been great to hear that along this time.
[12:40] Jane Tria: Before we just show you the new platform, I'm curious to hear again today, if that has changed, what slows your team down the most. You'd see a poll popping right now onto your screen — if you can just choose and select to see which of these probably sounds like the most painful thing that your team is experiencing.
[13:10] Jane Tria: While we wait for that result, from my end, it really is about what I've been hearing: now our business has grown and I'm struggling now to see which ones to prioritise, which accounts to prioritise. Maybe before I had 50, now I have 200, 500. It's a great problem to have when your business is growing, but then it's also thinking of which now should I prioritise. That's what I hear from speaking to clients, partners, prospects. What are you hearing from your side, AJ?
[13:50] AJ Singh: I mean, Jane, I'm hearing — and more than hearing, I experienced myself in my own business previous to ezyCollect — just chasing that long tail of accounts. We'd had about 200 customers and we'd always focus on the top 100 and the bottom 100. We just didn't have time. It's actually a time issue. But how do you prioritise and chase that long tail in the same professional, consistent, persistent way? For me, that's always been a big thing, and why I feel smarter automation is still needed.
[14:30] Jane Tria: Exactly. What about from the product side, Ricardo?
[14:35] Ricardo Hori: Right. We were talking about this before. And like I mentioned, we could use some extra people to help develop all the stuff. But other than that — the more you can automate in a reliable way, the better, right? So you can take time spent in tasks that are not as much value-adding and spend it relationship-building or on expansion. So B, for me, is one that was really important as we were thinking throughout this — so we can adapt to the way your business works and provide you options of automating this in a way that aligns to what you already do.
[15:20] Jane Tria: Yeah, I hear you. Very interesting. If we just look at the poll now — whichever is the top one here — I can see it's still manual repetitive actions. So it's still the same problem that we're trying to solve. Finance teams most especially — I'm sure you all resonate here on the call — just don't have the clear prioritised view of what we're going to do next. Like Ricardo said, if we can automate a lot of those, then that'd be great.
[16:00] Jane Tria: So this is really what we are trying to solve in this new platform. Just to give you a quick overview and summarise what AJ said, this pillar is about giving you a new experience that will empower you and your team to be able to work on one platform, have that one view, but to also work alongside your peers whether you're working in the same office or in different states or even globally. This is the foundation that we want to build, because we know that how you chase a certain group of customers will no longer work for others — perhaps as you expand as you even grow more.
[16:45] Jane Tria: I just want to say before we look into the new platform — the exciting part here is this really isn't a separate product. If you're already an existing customer, this is the experience that you'll be moving to. So if you are excited after what you see here, just let us know and we can start the upgrade. Ricardo, I'm going to stop now and I'll hand over to you to show the new platform.
Workflows Demo
[17:15] Ricardo Hori: Yeah, of course. Let me just share my screen. Let me just choose the right one. There you go. We'll start here now. This probably looks quite different than what you're used to, but as I go through, you'll see that some is a bit familiar. The changes that we've made are so large that it's very unlikely we'll have time to go through everything in detail. If you're interested in any particular one, we can book sessions down the line to go in depth.
[18:00] Ricardo Hori: I want to start here because this is the heart of the product, which is the workflow configurations. I left it in a structure that should be somewhat familiar to you — this is how you have it in ezyCollect today. So you can send a new invoice email, a pre-reminder, and then you have six different stages that you can send emails or book a call. This is the standard that you have. But the difference is that in this one you have much more flexibility. One thing we have been requested for a long time is to be able to add more steps. You can add as many steps as you want. But also, one very important one, is to be able within your customers to have different communication strategies depending on the characteristics of that customer.
[19:00] Jane Tria: Yeah — and I think that's what I was referencing earlier, Ricardo. Like when your business grows or you have more customers, you want to think, okay, I don't really want to chase my top key accounts, my really good customers, with the same approach. I want to only chase them with two or three reminders or have a very different approach. So how does that change in here?
[19:30] Ricardo Hori: Right. I'll go through the example you were just discussing. So key accounts — you want to separate some. In here you can configure dynamic segments, which means that customers will be automatically sent to this group based on certain conditions. In this case, because I don't want to go too much in detail on all the fields, I'll just say that if the customer name contains, let's say, AR, then they are a key account. You can see that it finds a match — you can see everyone that matched here. If in your ERP you change any customer name to have AR, then it automatically comes into this segment.
[20:15] Ricardo Hori: There are so many other niceties that we have added. For example, you can configure a time schedule, including time zone, for each segment. Jane, I'll just rush through here a little bit, otherwise I spend too much time. But I'll say — we'll send it at 2 p.m. This is a check box that has been asked for the past eight, seven years, which is to send on business days only. Yes, it's finally here. You can also add or remove — say, for whatever reason, you never want to send on Wednesday, you can do that too. And you can select a holiday calendar for a specific region. In this case, we're in Australia, so I'll just say Australia.
[21:00] Jane Tria: The great thing about this, Ricardo — sorry, just to step in — is I know we have a lot of clients who work in different states. So this just shows me I can actually have different communications for those set time zones. In Perth or in Sydney — that's amazing.
[21:20] Ricardo Hori: Yeah. And this is just a little bit of everything that you can do. So for example, if you want to add more steps, you can add more than one pre-reminder, you can add more steps at the end, in the middle. I can't go through this as much as I would love to, because the two other people are going to get a bit annoyed that I'm spending too much time here.
[21:45] Jane Tria: No — but just want to say, Ricardo, can we just make your screen bigger, because I know everyone wants to see what you're doing, and I got a comment from the chat that it's a bit too small. If we can zoom in a little bit if it's possible. Yeah, great, perfect. Thanks for that.
[22:10] Jane Tria: Just to ask here — because I know this is all based on the overdue invoice, the ageing event — but tell me, Ricardo, what if let's say, oh, I have a customer who's disputing this invoice and they need to have a manual escalation internally. Is that something now that we can cover?
[22:35] Ricardo Hori: Wow, that's a very interesting question. Sounds like you even know what's available. So there are a few things that you can do extra. But before I jump in, I just wanted to show this because you mentioned about the time zone allowing you to have segments in different regions. I had one already prepared. Sorry, I'm going to zoom out a little bit just so you can see the entire thing. In this one you have an area configured to New South Wales and Victoria. In this case you can see that there are more segments than stages. You can always just flip it around so the visibility is a bit easier as well. A lot of niceties like that in the system.
[23:30] Ricardo Hori: Going back to what Jane was hinting at — you can also now create automation based on events that happen throughout the order-to-cash process, of which dispute is an example. If you click this button here, you'll see there are a few options here. If there is anyone from the product team, I just want to say that maybe I added a few things here that are not quite there yet. But don't worry, all of these kinds of things will be available over time. For example, in the case Jane was talking about — dispute raised. If we identify this, you can, for example, automate the creation of a task, which is again a new thing. Before, we didn't have tasks. You could only book calls. Now you can book a call as well, as always, with the difference that you can assign it to someone, but you can also create a general-purpose task. So you could say review dispute and an action. You can say assign collector — I'll say Jane.
[24:45] Jane Tria: Yep. I'm the master in dispute. So this is great.
[24:55] AJ Singh: Jane and Ricardo, if I can just jump in for a second. One of the things in my last business which I really wish I had — I can see how this is practical — is I was really worried, would keep me up at night, when a customer risk level would go from, say, medium to high. I can't monitor 200 customer risk-level changes and I wasn't aware someone was going to a high risk from a medium risk. If I could have an action where I would get an email or text message sent to me to know this customer is moving to a high risk so I can have a conversation with my team — things like that I think are a game changer as well. I really feel like these are practical things that will just help you avoid bad debt, get paid even faster, and just let you sleep at night. Ultimately, it's peace of mind as well.
[26:10] Jane Tria: Yep. I think that's great. And you can see you can escalate it internally. It can go to your CFO, to your general manager, whoever has to look at these things. While the team can still focus on the day-to-day things that matter the most. Yeah, this is amazing.
[26:35] Ricardo Hori: Jane, you go ahead.
[26:37] Jane Tria: I was just going to say — because I know we're trying to talk about a lot of these things — this is great. So this is the workflow we're in. Just to summarise: we can create different customer segments. Again, just to reiterate, this can be dynamic, which will automatically happen in the background once you set it, or you can manually choose and pick the customers that you want to put in a segment.
[27:10] Ricardo Hori: Yeah, that's right.
[27:12] Jane Tria: Great. Some of the other ways that people want to do this is through users. Is that the same thing for customer segmentation — like, I'm managing these accounts?
[27:25] Ricardo Hori: That's upcoming. There will be an update, but that one is probably more in the next year, where you'll be able to not only configure segments but you'll be able to use the segments as a view of your ezyCollect file, and also have different permissions per segment. So you can say this user has access to these two segments but not the third one.
[27:55] Jane Tria: Okay. I'm jumping way ahead now. Let's get back to what we have here, which is already plenty, which is focusing on the customer segments.
[28:05] Ricardo Hori: What we have here that's new in terms of access is there is a new user role — the company admin — so that you can protect the edits to the workflow. Whenever this is assigned, you can have one user that has permission to come in here and change it.
[28:25] Jane Tria: Perfect. One thing that you mentioned — and if I can just quickly jump out of the workflows here — is that, like I said, we can create as many segments as you need and then customise the workflows per segment. Just to remind everyone here, our clients, and you know if you're looking to use ezyCollect — the goal is not to over-complicate things. The goal is to still make things easy, and make sure that you can personalise it for each segment without over-complicating things.
[29:00] Jane Tria: But if there is a need for order-to-cash events, they are available here, because we know as we work with different industries, there are different order-to-cash events that trigger different things that might be very different from a food and beverage or a building supplies company. So that's why we have those differences there. But if we could quickly — are you still showing us some things there in the order-to-cash? I'm just talking.
[29:35] Ricardo Hori: I think we should move to the others or we won't have time.
[29:40] Jane Tria: Yeah, exactly. Communications.
Upcoming Communications & Tasks
[29:45] Jane Tria: So, like, if I'm — you know, what would my day look like now with this new platform? How do I know if I have to set up all these segments and communications? What's coming and what's happening?
[30:00] Ricardo Hori: Yeah, okay. So usually you get today an email saying calls to be made. We've actually altered that email, and in that email you receive both what all the tasks are that are scheduled for today, or maybe that are overdue because that sometimes happens, and a summary of all the communications that are scheduled. However, now you can also see that in the platform. You'll be able to just go into the upcoming communications menu here. In here you have a summary of everything that's scheduled for today and for tomorrow as well, in case you want to anticipate anything. It has a breakdown per segment — so initially you can see for all segments, but you can also evaluate them per segment, because maybe it's even different people that are doing that.
[31:00] Ricardo Hori: Sorry, excuse me. The cool thing with this one is that over time, as the communications are sent, it actually updates here. So you can come in throughout the day and see what actually happened to each of the emails that were scheduled — if they were sent or not, if they failed, or whatever happened to them — and then check out what is coming in for tomorrow.
[31:35] Jane Tria: That is so great. Yeah. So this really helps organise as well and so easy to see. And how does this connect in terms of the things I need to do — my tasks?
[31:50] Ricardo Hori: Yeah, so I'll go into tasks as well. One last mention is that if you want to, you can — I know some of you love spreadsheets — you have that option as well. Instead of looking here, you can just export it to Excel and just check it there, or run a report, whatever you want to do with it.
[32:15] Ricardo Hori: Then for tasks — let me just open that. It's also, again, a new page, and we unfortunately are going to be very superficial here, but if you're interested, just let us know. It's a whole new page, and when you open it there are two options here, which is my tasks or all tasks. Just a heads-up: you can only see all tasks if you're a manager user, because then you can see the tasks from everyone else — otherwise you just see yours.
[32:50] Ricardo Hori: The system has an automatic prioritisation for your tasks based on how long the account is overdue for, how much in relation to others that it's overdue. So it's a balance in lateness prioritisation. But you can always just see it as a list based on date if you want.
[33:15] Ricardo Hori: In here — even in the poll there was a mention of hopping around. So what we try to make a little bit easier by bringing all the details of the customer here. I'm a little bit zoomed in so that makes it a little bit smaller. But here you can see key details from the customer as well, so you don't need to hop around. You can always of course open the customer dashboard as well, which has a completely new experience which we'll talk about later. And in here, because now there's a collaborative kind of tool, you can snooze the task, you can assign it to someone else — say Rachel — you can leave comments to your colleagues, just in case you can't complete the task today, or you want to leave something for you to remember down the line.
[34:15] Jane Tria: Oh, that's really great. So if I go on holiday I can essentially assign that to my colleagues and come back to it.
[34:22] Ricardo Hori: Yes, you can. And you can always create manual tasks if you want as well. Normally those tasks will be created through the workflow, because it's a dunning action — for example, a dunning call. But in case you want to leave yourself something, a reminder, you can always do that as well.
[34:45] Jane Tria: Perfect. I know there's a lot to cover here and, as you can see, this experience is totally different from what you have today. Hopefully it's really exciting. I just want to sort of move in and quickly summarise what we've shown you. We've shown you the new workflows, how you can have different customer segments and have different workflows based on ageing events and order-to-cash events, and these are related to tasks that now can be automatically created for your team spread across your team, whoever is responsible for that — not just the AR team, not just the finance team. If it needs to be escalated internally to sales team, someone else, to your leadership team to have visibility, we can do that now. And as Ricardo mentioned as well, you can even add manual tasks.
[35:45] Jane Tria: So this is the new platform upgrade. There's actually a few more things there — customers page, new dashboard — and we're happy to go on a deep dive on that after this webinar if you're keen. But can we go into the next one, just conscious of the time?
[36:05] Ricardo Hori: I'll just quickly answer some questions that are super easy to answer. One question around the fields that you can use for segments — basically any field in your ERP. Some are out of the box available. Some of them we might need to integrate into a custom field. But if you have it in the ERP, we can sync it and use it for the segments. In terms of when it's being released — Jane —
[36:40] Jane Tria: Today. It's available for you today. Yeah, after this call we can start upgrading if you like.
[36:50] Ricardo Hori: But again, not everything that's in here is available, because I added a few things to show you the road map that we have. But most of these things that I'm showing will be available within the next few months as well.
[37:10] Jane Tria: So, so — should we move to the intelligence layer?
[37:14] Ricardo Hori: Yeah.
Pillar 2 — Order-to-Cash Intelligence
[37:15] Jane Tria: Absolutely. Okay, I'm just going to take control again if that's okay with the slides. Yep. Okay. All right. That's a lot. But that's amazing. All I'm going to say is that it's amazing. So I'm biased as well, but I'm sure our customers think the same way.
[37:50] Jane Tria: Now, what is the next step — once you have the foundation of the new platform, then you're ready to take it to the next level. I mean, that's already the next level. If you want to take it further up, then we're introducing what we call the AI-powered order-to-cash. So this is again all about you — what you've told us: how do we prioritise our accounts? You have the relationship, you know that. Now let's take it and give you some good intelligence data.
[38:30] Jane Tria: We're going to talk about business intelligence. I'll hand it to Ricardo, because he has more experience on this — on essentially what this is and what this means to you.
[38:45] Ricardo Hori: Oh yeah, of course. What this is providing in terms of value is the ability for you to look at your customers or your accounts and see how they are behaving with other suppliers, in comparison to the industry and in comparison to you. It's another data point that can be used together with the data points you already have from Credit Insights that give you a better idea of whether — you know, this guy is paying you late, but do they pay everyone late? Or are they paying you late but pay everyone much earlier than you, and there's an opportunity to get some cash flow earlier? You can see at what days in the month they usually pay.
[39:35] Ricardo Hori: That's something I can show you better visually. But I think the important part to understand here is that this is all based on Sidetrade — our parent company. The data lake has a huge amount of data, and that's where the trade experiences are recorded, and that's how we obtain the information to display it to you.
[40:00] Jane Tria: Yep, and we'll show that to you shortly. Obviously next to that is taking your collections to the next level and having a bit of a transformation on that, wherein we move to augmented collections. I'm sure most of our clients are asking, how is this different from our current collections, Ricardo?
[40:25] Ricardo Hori: So, the essential objective of augmented collections is to allow you to — let's say, for example, if you were capable of every day looking at each of your customers and making a plan, a specific personalised collection strategy for each account. Wouldn't that be more effective? I think the answer is quite simply yes. But the problem is that there is no time to do such a thing. You have to choose. Normally you choose the larger accounts or the riskier accounts. You have some sort of strategy to select which ones you're going to give more attention, which ones get a more generic email.
[41:15] Ricardo Hori: What augmented collections does is simulate the exact process for you. Aimie will be looking at the accounts at an individual level — seeing when did they pay, when do they usually pay, what kind of mediums they respond to better. Is it an SMS, is it an email? What is the way that you can optimise the collection of this particular account? Then she will decide what's the next action to be taken, which sometimes could be scheduling —
[42:00] AJ Singh: Sorry — say, Ricardo, I have a real problem here. I lost my New South Wales AR person recently and I don't have a collector in that region. But I do have someone in the other states. Can Aimie just chase my New South Wales accounts for me?
[42:25] Ricardo Hori: Of course. You'll be able to segment as well. When you create the segments that we showed you before, you can say — you know what, I want this segment delegated to Aimie. I just want her to escalate some calls to me, or if she believes that's better, just engage into a debt-recovery process. Do that. But otherwise, she can look at it and change even the collection process over time. Say, okay, you know what, it's better to shrink the reminder spacing, or increase it, or change the type of medium that you're using.
[43:00] AJ Singh: That's great too.
[43:02] Jane Tria: Can we actually jump in quickly now to show these two things — the business intelligence and the augmented collections? Because I'm sure everyone's itching to see how that looks.
[43:15] Ricardo Hori: We'll start with augmented collections, because that's what is on the page at the moment, before we jump into the customer. I will zoom. Oh, hold on.
[43:30] AJ Singh: Just while Ricardo's doing that, Jane — there's a question. Will all these settings that we're showing be available when a customer migrates into the new platform? Upgrades, you mean?
[43:50] Jane Tria: You mean to the new platform? Yeah. It really depends on what you want, but obviously your current workflow, we will upgrade it into the new platform. Then, if you want to add any other things, our customer success team will work with you on this.
Augmented Collections Demo
[44:15] Ricardo Hori: So I jump back into that workflow setting that we created. I just want to call your attention to a few different places. The first one is the Aimie settings here. The way it works for Aimie is that you can tell her which channels she's allowed to use. So you might not want to use post or SMS because you just do emails. That's fine too. And calls — calls are always a task, so those are available by default.
[44:55] Ricardo Hori: Then you still have to create the templates for Aimie. So in this current release, we're not letting Aimie create the email content by herself yet, because I believe we need a little bit more time to make sure that it can reliably create content, and as well have some sort of validation process with you so you can feel confident about that. So for the time being you still need to create the templates and assign them for Aimie, and she can decide which medium and at what time to send.
[45:35] Ricardo Hori: The way you activate it is per segment. If you go into this segment you can see there's an augmented collections option here. You just enable it, right? And then save. What happens here is that you can see that the new invoice and pre-reminder remain the same. So Aimie does not take care of that. What Aimie takes care of is the post-due chasing process. So while in the other ones you had to configure individual actions — say an email, a task, an escalation — in this one Aimie just takes over and manages for you, and she will self-improve and learn and change the strategy as she has more information. And that's it. So you can say key accounts.
[46:30] Jane Tria: Wow, that's great.
[46:32] Ricardo Hori: And then she'll take over for you. But probably the opposite, right — key accounts are the ones you probably want to keep a deeper relationship with. But you can definitely put a different group for Aimie to manage.
[46:50] Jane Tria: Yeah, in this case with AJ's question, it will be the New South Wales account for her to manage, right? So the other team can focus on that one. So yeah, that's great and it's so easy to set up.
[47:10] AJ Singh: That's amazing. And Aimie knows the next best action because she's using the data from the data lake and whatever rules we've set up. Okay, that's it. I think for the folks on the call, this is a real point of difference — it's not just a brand-new platform, but it's also what we call an intelligent platform that's using this set of data to actually help you optimise collections. I think that's just that next natural evolution. And the way it's been implemented, I think it's just beautifully simple. It has the guide rails where you can still control the email templates that are being used. So that's good.
[48:00] Ricardo Hori: Oh yeah.
Business Intelligence on the Customer Page
[48:05] Ricardo Hori: Now let me move into — this is not just the business intelligence, but it's a whole new page again. So let me just get to it. Where do I change here? Yeah. We also completely redid the customer page — the customer detailed page. And by the way, we also redid the customer list entirely, but I don't think we'll have time to go through it.
[48:35] Jane Tria: So this is the individual customer, right?
[48:37] Ricardo Hori: Yeah, the individual customer.
[48:40] Jane Tria: Perfect.
[48:41] Ricardo Hori: The first thing you notice, of course, is that it looks quite different from what you're used to. Besides that, it is editable — you can actually change visualisations. For example, I want this to say, you know, show it like this, or show it in different ways. The receivables is the same — you can do a hero in the buckets and save it. In the short future we'll also allow you to create personal dashboards, so you can have it optimised for different purposes as well.
[49:20] Ricardo Hori: But in here what I want to call your attention to, besides the things that we already have, is the business intelligence widgets. So the first one is the payment window here. The cool thing about this one is that you can see how that customer behaves with you versus how they behave with others. You can see — oh, okay, normally they are paying you here quite at the end of the month, and with others they might be paying a little bit earlier on. So that's quite interesting, and you might want to try to focus more communications earlier to see if that helps you get paid faster.
[50:10] Ricardo Hori: The second one that you can use is the payment intelligence, and you should use those two combined. For example, in this one it also tells you how long this customer takes to pay overall. In blue you have the terms that others are normally using. Confidence is based on how many trades with different suppliers this customer has in the data lake — the more matches, the more confidence. In blue you have the terms that they usually use with others, and then how late do they pay.
[50:55] Ricardo Hori: You can see that in this case, for example, this business — Kingsford Industrial Supplies — has shorter terms but longer overdue. It stays overdue for two extra days. So you might want to look at the payment window and say, let's try to focus the collections a little bit earlier and see if we can reduce this to 14, and then you might have an improvement in cash flow if you're able to accomplish that. You can move from 46 to 42 days overall in terms of getting paid. And this is available for all of your customers.
[51:45] Ricardo Hori: The only caveat here is that in order for this to be useful, we need to have information. For some customers, we might already have a lot of information in the data lake available, and we can immediately display. But for some other ones, we might need to track the history of payments of the customer for a few months before we can reliably show you information that actually makes sense, right? So it's not based on just a couple of transactions, which can create a very high degree of variation. There is so much more in here, but I don't think —
[52:30] Jane Tria: No, that's amazing, Ricardo. What you're showing now — just the whole page — new experience, new data. I know all of you here love data. So take that data back and see how you can strategise and do better in the collections process.
[52:55] Ricardo Hori: I won't talk about it, but I'm just going to show it. Okay, this is the new customer list. There will be column configuration. Okay, I'll stop it. But yes, there's more stuff.
[53:15] Jane Tria: You're such a tease. But we can show that to you on a private demo — not a problem. Just so we can move on — time check, we only have 15 minutes left.
Pillar 3 — Road Map & Aimie Call Demo
[53:35] Ricardo Hori: Okay.
[53:37] Jane Tria: We should go back. Let's look ahead. So we have the new platform — we're calling it new, but it really is available today. After this you can get it already. Then we had a look at our AI — business intelligence, augmented collections. So what's next, Ricardo? What else should we look forward to?
[54:00] Ricardo Hori: There are two big ones that are coming fairly soon. When I say fairly soon, let's say in the next three to six months. So let me — I have a demo now. If you're from the product team, again, don't worry. Sorry. Just FYI — not even the product team guys, most of them haven't actually seen this. This is a very, very early view of how this is going to look like. But Jane is our guinea pig today. I will share my screen and show you.
[54:40] Ricardo Hori: There are two quite good things to show you here. Let me share my screen. So, we are now back at the tasks. When you configure a task — call — and this will be available on the workflow settings as well, you can assign it to a human, but you can also assign it to Aimie. Aimie will have a few different capabilities that we're going to add. Today you can't do call via VoIP — we'll add that so you can have automated transcripts as well. And I'll show you why you want to have transcripts.
[55:25] Ricardo Hori: You can do supervised calls, but for now what we're going to do is just a simulation of what that would look like. Once I click here, I think Aimie is already going to start. So I just have to be quiet and let Jane talk to Aimie. Aimie takes the context of the customer and takes that into consideration into the conversation.
[56:00] Ricardo Hori: Aimie has a few different capabilities. Aimie can perform the call for you — for example, a dunning call. If there's no answer, she will give a pretty detailed voicemail. Aimie can also act as a receptionist. For example, you could have that in your Simply Paid platform. If the customer wants to ask any questions, she also knows how to escalate to humans if necessary. She also makes sure she identifies the customer before sharing any information, using the emails of the contacts on the account to validate that it's a person authorised to have the information. But let's do this one today. I just need to make sure I share.

Reviewing the Call & Email Reply Capture
[58:40] Ricardo Hori: Cool. Besides the conversation itself — what Aimie is doing throughout this conversation is analysing the conversation itself. You can see here that she identified three different events. The first one is that the context is outdated — Oliver no longer works there and Jane is the right accounts payable person. The second thing is that there was a dispute raised — Jane is saying that there's a credit note that should have been applied, and she tried to capture the details to send it to the team. And then she said, well, we'll check it and get back to you — so there's also a callback request.
[59:30] Ricardo Hori: Now, those are important to understand, and you can also provide that manually via the add transcript. But whenever this happens, Aimie triggers an event and that event then goes back to the workflow. Remember, here you have the O2C events, and you can configure some automation. Let's say it's a callback requested — you can just automate a call. Is there a human agent requested? That can happen — some people just don't want to talk to bots, which is fine too. She knows how to escalate it. Contact details updated — it might create a general task for someone to go and update the records. So anything that it understands — for example, a dispute — it's able to trigger, and then you're able to create automation on top of it.
[60:30] AJ Singh: One of the biggest things that I know, talking to customers, is people call in and say, I need a copy of the invoice. Can Aimie go to the ERP or the billing system and send the invoice?
[60:50] Ricardo Hori: Yeah, so there are two ways you can accomplish that at the moment. The first — the one that's coming sooner — is you can actually just configure that on your workflow. Whenever the event is triggered, you can have a template that you can build to send that invoice immediately, and it can be a different template per segment as well. Then in the future, a little bit more down the line, we're going to give Aimie more agent capabilities where she can just handle some of this for you automatically without you having to configure anything.
[61:30] Jane Tria: Ricardo, just one more question. Emails, right, is a big thing. I know we're showing calling and that's great, but a lot of AR teams work back and forth on email. How can Aimie help me when it comes to emails and people wanting invoice copies or other things that happen on emails?
[62:00] Ricardo Hori: That's a perfect, perfect question — almost too perfect, AJ. Because the next thing I'm going to talk about is emails. Remember I told you about how important the transcripts are? That is the same for email content.
[62:20] Ricardo Hori: In this — you're back into the customer page. Here you have a dedicated activity history. It's the only one that has a dedicated area, because everything else has become widgets. In here there is a new view called by chase. What the by-chase view does is it groups the communications based on what was the oldest invoice that was being chased, and that gives a little bit more context to what the activities are under each. So for example, to actually get collection happening for this invoice, four activities were required — manual call, escalation, so on.
[63:15] Ricardo Hori: But in terms of Aimie, this one is the more interesting. You can see there's one event and reply here. If you open here, you'll see that in the usual chat style, you or the system has sent Blackwood an email saying the invoice was overdue, and they replied. The new feature that we're adding is, first, the ability to capture replies. I know a lot of people have been waiting for this for a while — this is again coming soon, not with the release today, but coming soon.
[64:00] Ricardo Hori: The system is able to first capture the reply. Whenever a reply is captured, Aimie analyses the reply and does the same as she does with the transcript. In this case, Aimie identified a payment plan request. If you click here, you can see where Aimie thinks. You can validate it — is this actually a payment plan request? You can see it is. For every email that gets a reply where she identifies, she will trigger an event on the workflow, and then you can create automation based on that. In this case it could be a simple create-a-task for someone to organise the payment plan, and then send the payment plan for approval to the customer. But it could be many different things — disputes, any of the stuff that you saw on the call are also going to be identified here. It could be an invoice copy request, a payment promise. It could be many different —
[65:15] Jane Tria: Or just like my example, Ricardo, in the call, right? If it's a review from customer service, we can escalate that task internally. Is that correct?
[65:25] Ricardo Hori: Yeah. If it's a dispute, it's going to raise it as a dispute, and you'll have this content here to add to the task as well. So you can escalate it or you can create a task.
[65:40] Jane Tria: That's amazing. So again, just to reiterate — this part is on the product road map. This is coming soon, right? Because as much as we'd love to give this to you today, not yet.
[66:00] AJ Singh: Jane, I think Ricardo said three to six months, but I heard three months. I don't know about the six months bit.

This is coming a little bit further down the line.

Not currently, but we are — if Sash is in this, he's going to probably laugh — but we are building a dedicated invoices page, and in that page you'll be able to generate, you know, export, filter, and anything, including which invoices have a promise on them, which invoices are in certain statuses, which invoices from a segment. You'll be able to see. But it's not specifically a report for payment promises — it is a page where you can have a dedicated view of all of the invoices in your file and then run filters and reports against it.
[72:35] Jane Tria: Yeah, Ricardo, could you use like any O2C events for this, where a promise date has been missed maybe, and to trigger a workflow? Is promise date a field that you think would make sense from an order —
[72:55] Ricardo Hori: That's already available today. That's coming out with the first release. It's called payment promise dishonoured.
[73:05] Jane Tria: Okay. So maybe that's one way to do it — like if an invoice is paused or a payment promise is broken, you can then have a workflow action or a task escalated on the back of that. Okay, yeah. Oh, this is an easy one.

It actually has the capability to scan and get a response from the server and say, okay, this invoice exists or not. So we can optimise the accuracy of it. But then she didn't have the email-sending implemented, so she couldn't do that. That's why it failed at a point. But again, it's an early version. This will definitely be fixed by the time we get there.
